GENERAL CONDITIONS OF SALE

THE GENERAL CONDITIONS OF RESERVATION AND SALE GOVERN THE RELATIONSHIP BETWEEN ETHIC ETAPES DIJON AND ITS CUSTOMERS. THE RESERVATION OF A STAY OR A ROOM RENTAL IMPLIES FULL ACCEPTANCE OF THESE GENERAL CONDITIONS AND THEIR TERMS OF APPLICATION.

RATES

a) The group rates are only applicable to groups of at least 12 people, belonging to a group or an organization.
b) The prices indicated are applied to all the members of the group, including accompanying persons and drivers.
Note: for agencies, special arrangements may apply (please consult our reservation department).
c) Half board is mandatory, the number of meals must be equal to the number of nights. Self-catering meals can be replaced by packed lunches.
Note: for any change of meal, please contact the reception desk at least two days in advance.
d) In the case of special fixed prices, the prices apply globally to the services booked. These prices cannot be split up.

RESERVATION, PAYMENT OF DEPOSIT

Ethic Etapes Dijon will only consider a stay, a room rental or another service definitively confirmed upon payment of the deposit accompanied by the reservation form signed with the mention “good for agreement”. In the absence of the return of the booking form, the reception of the deposit by Ethic Etapes Dijon implies the total adhesion of the customer to the present general conditions.

Ethic Etapes Dijon does not take in charge the exchange fees nor the bank or postal transfer fees.
a) The payment must be equal to 30 % of the total amount of the reserved service.
(if the stay is longer than one week, the basis of calculation may be subject to a special agreement).
The date of payment of the deposit is indicated on the agreement in principle or the booking form. After this date, the reservation is automatically cancelled.
b) If the reservation is made within one month before the arrival date of the group, 50% of the invoice is required.
c) If the reservation is made within eight days before the arrival, 100% of the invoice is payable before the arrival.
According to current regulations, deposits are never refunded and cannot be carried over to another stay. However, Ethic Etapes Dijon grants a partial refund in certain cases (see below).

CANCELLATION OF THE STAY

a) If the cancellation occurs between the date of payment of the deposit and 90 days before the scheduled date of arrival of the group, Ethic Etapes Dijon keeps 20 % of the deposit paid.
b) If the cancellation occurs between 89 and 60 days before the arrival date of the group, Ethic Etapes Dijon keeps 50% of the deposit paid.
c) If the cancellation occurs between 59 days and 15 days before the arrival date of the group, Ethic Etapes Dijon keeps the entirety of the deposit paid.
d) If the cancellation occurs within 14 days before the date of arrival, Ethic Etapes Dijon keeps the deposit and charges 20% of the quote.

PARTIAL CANCELLATION (downsizing)

One week before arrival, a reduction of 1 person for every 20 confirmed persons is accepted without payment of a deposit. For any reduction in the number of participants that occurs :
from 30 days to 15 days before the arrival of the group a fee of 8 Eu. per person per day will be charged.
from 14 days to 3 days before the arrival of the group a penalty of 10 or 15 or 20 Eu. per person and per day will be charged according to the arrangements (night and breakfast, half board or full board)
– No reduction in the 3 working days prior to arrival is taken into account.

PARTIAL CANCELLATION (reduction of the length of stay)

Any reduction in the length of stay or change in the date of stay occurring
within 30 days to 15 days before the date initially booked will result in a penalty of 10 Eu. per person and per day cancelled.
within 14 days to 3 days will result in a penalty of 50% of the amount planned.

LATE ARRIVAL

In case of late arrival of a group, the client will have to pay the full cost of the services booked by him but not used because of the delay.
The client is requested to announce a possible delay for the dinner on the way. For a catering service served after 8:00 p.m., personnel costs will be charged per additional hour and per person on duty on the basis of the rates in force, of which the client acknowledges having taken cognizance.

DISTRIBUTION OF ROOMS

Ethic Etapes Dijon cannot guarantee the grouping of rooms on one or more floors for the same group.

MOVING

In case of force majeure or exceptional circumstances, Ethic Etapes Dijon reserves the right to accommodate customers in a nearby hotel of equivalent quality without any change in rates.

PEACE OF MIND OF THE CLIENTS

In case of unacceptable behavior (hygiene, security…), Ethic Etapes Dijon reserves the right to immediately interrupt, without reimbursement, the stay of one or several persons.

SPECIAL CATERING

INSURANCES

Ethic Etapes Dijon cannot be held responsible for theft or damage to equipment stored by the organizer.

We advise our clients to take out insurance at their own expense covering
the eventual costs of cancellation of the stay or reduction of the number of participants.
damage caused by the members of the group (halls, corridors, rooms…) to our equipment.

PAYMENT OF INVOICES

Invoices must be paid on the spot before the arrival or departure of the group, except by prior agreement or partnership agreement.

CASE OF FORCE MAJEURE

The management of Ethic Etapes Dijon reserves the right to cancel the reservation in the event of force majeure or unforeseen circumstances (strike, fire, water damage…).

SPECIAL AGREEMENTS/SPECIAL CONDITIONS/PARTNERSHIP AGREEMENT

Special conditions can be granted to tour operators for school trips, heritage classes, congresses, training courses and sports events or on the occasion of partnership agreements. Please consult us.

ANIMALS ARE NOT ALLOWED IN THE ESTABLISHMENT

JURISDICTION CLAUSE

Any dispute relating to the validity, interpretation or execution of this contract will be under the sole jurisdiction of the courts of DIJON.
